# Eleon > A self-hosted email, communication and case workspace for Outlook and Gmail, with all installed features open source, including collaboration and optional AI. Separate conversations about one matter appear in parallel columns on one chronological case timeline. Release status: Source code: https://github.com/giorgosbil/eleon ## Capabilities ### Everyday email - Read and organize: Outlook and Gmail mail, folders, read state, flags, categories, archive, junk and bulk actions, according to provider support. - Write and reply: Rich HTML, reply, reply all, forward, To / Cc / Bcc, signatures, inline images and file attachments. - Drafts that stay with you: Autosave and provider draft synchronization, with several replies or pop-out windows. - Send on your schedule: Undo send, send later and a scheduled-message view. Supported Outlook schedules can be handed to Microsoft; Gmail schedules depend on your installation running. - Remember the next reply: Snooze, flags and follow-ups that stay quiet when the other side answers first. - Write comfortably: Reply templates, Greek and English spelling, personal word suggestions, out-of-office replies and personal mail color rules. ### Search & files - Precise search: Words, phrases, people, dates, folders, unread/flagged state, case links, filenames and file types, with a filter builder and saved filters. - Attachment text: Search readable text inside supported PDF and Office files, including Greek; scanned images require a text layer. - Built-in previews: PDF, Word, Excel, PowerPoint and DXF drawings, with pop-out previews and conversation printing. - Keep your bearings: Matching messages and files are identified in results; open the source conversation from the result. ### Cases & next steps - Parallel conversations: Link separate threads from different mailboxes to one chronological case timeline; hide or show columns without unlinking them. - A case without an email: Start a case for a call, visit or task, then add conversations later. - Your workflow: Custom case statuses within Open, Waiting and Closed, customizable numbering, groups, tags and due dates. - Clear responsibility: Separate Responsible and Handled by roles, plus conversation roles such as customer, supplier or internal. - Next actions and references: Record the next step, who does it, who you wait on, when to review it and order, serial or claim references. - Less repeated setup: Case templates with checklist steps, dates, tags and a group; merge related cases and restore soft-deleted cases. - Fast case management: Filtered quick views, sorting, bulk updates, deadline reminders and links by case number or an unambiguous reference. ### Teamwork & shared inboxes - Shared mailboxes: Connect team addresses, grant mailbox access, claim conversations and use Mine, Unassigned and Others views. - Private and shared work: Personal mailboxes stay private; selected case conversations are shared with people who can access that case. Company, members and only-me groups define visibility. - Internal discussions: Case and email notes, @mentions, note threads, read state and resolved discussions; internal notes are kept out of customer replies. - Shared reply drafts: Colleagues edit the same shared draft one at a time, with edit locks and version checks. Sending still follows mailbox permissions. - Avoid crossed replies: Conversation-viewing presence and checks for newer messages while a reply is being prepared. - Keep work moving: Assigned checklist steps, notifications, holiday cover and handover of open work when a teammate leaves. ### AI assistant - Ask about mail and cases: Find agreements, retrieve messages and supported file text, summarize a case and open source messages with email references. - Draft and translate: Prepare replies in the customer's language, summarize conversations and translate emails. Review the result before sending. - Confirm changes: The assistant can propose a case, linked conversations, status, responsibility, due date, note or reminder for your confirmation. - Make useful files: Generate Excel or CSV files from retrieved information, within the assistant's configured limits. - Choose the connection: Built-in Claude, your own supported cloud service or an OpenAI-compatible local endpoint; main and backup connections per job. - Control usage: Daily allowances, connection usage and one Pause all AI control. External services receive the material included in their requests. ### 12 background routines - Triage new email: Identify the request, urgency, dates, useful references and a possible case. - Promises and deadlines: Spot commitments in sent mail and suggest reminders. - Living summaries: Keep a short description of active cases up to date. - Next step and references: Suggest or fill the next action, waiting party and reference numbers, with a visible AI origin and undo. - No reply yet: Notice a question you sent that is still waiting for an answer. - Left unanswered: Highlight incoming questions addressed to you that remain unanswered. - Reply-time alerts: Warn the responsible person before a reply target is missed. - Morning briefing: Bring together waiting customers, due work and open suggestions. - Patterns: Look for repeated complaints from the same company. - Solutions memory: Record closed-case problems and solutions, then suggest relevant past cases; people can correct them or reject a match. - Deals: Extract the sales or purchasing path from relevant case emails and supported files. - Prepared replies: Prepare drafts for human review; this routine is off by default. ### Deals, contacts & calendar - Deals: RFQ, offers and revisions, purchase order, order confirmation, delivery and invoice, for both selling and buying. - Document-backed facts: Open the source email for a deal item, compare the latest offer with an order and flag missing, expired or late steps. Extracted amounts should be checked. - Contacts and companies: People and company details connected to their conversations and cases. - Outlook calendar: View, create, move and edit supported personal events. Recurring events and meetings with attendees have editing restrictions. - Teams meetings connection: Create a Teams meeting link through the supported Outlook connection and include it in an email. ### Teams, WhatsApp & Telegram - Microsoft Teams: Read and send supported chats, start a chat and post selected case events to a configured Teams channel. - WhatsApp Business: Connect a Business number through Meta Cloud API, use supported media and approved templates, and respect WhatsApp's messaging window. - Personal Telegram accounts: Connect your account, work with chats and supported media, and keep using Telegram on your phone. - Chat columns in cases: Select messages, link them to a case, follow later messages and reply from the case where supported. Linked material follows case access. - AI linking suggestions: When enabled, suggest a case for chat messages while the chat is open. ### Automation & connections - Incoming-mail rules: Match new email and open or file cases, assign, tag, move, notify or send a configured template reply. - Group routing: Match words or an AI-described group rule; suggest a case or enable automatic creation with undo. Feedback can inform later suggestions. - Historical backfills: Preview a rule against earlier email and run it in the background; historical processing omits replies, notifications and webhooks. - Copilot and MCP: Connect compatible AI clients to mailbox and case tools using the configured identity or personal access token. - Outgoing webhooks: Send selected case-event notifications to another system. Current delivery is best effort. - Support-agent connector: Admins send a selected case or conversation and supported files to a separately installed support agent, where learning requires approval. ### Reports & reply targets - Response targets: Business-hour reply clocks and targets per case group, with warnings before deadlines. - Workload: Cases by status, group, responsible person and handler, plus overdue or inactive work. - Trends: Created and closed cases, first reply, time to close and response-target reporting, with CSV export. ### Access & security - Account controls: Email invitations, password reset, two-factor authenticator support, recovery codes and trusted devices. - Roles and visibility: Admin, user and read-only roles, private mailboxes, case membership and feature access controlled on the server. - Connection protection: Encrypted OAuth tokens, request limits, CSRF checks and sanitized email HTML. Configure HTTPS for your installation. - Security and governance: Microsoft sign-in, an audit log, retention settings, legal hold and password-encrypted backups. - Your deployment policies: Select external services and backup destinations. Self-hosting provides control; it is not a compliance certification. ### Export, operations & everyday access - Take your data with you: Export one case or the workspace as a ZIP with readable pages, email files, supported attachments and structured data; print a case to PDF. - Backups and recovery: Scheduled local backups, configurable off-site folder, S3 or WebDAV copies, and restore tools. Ordinary mail attachment caches are re-downloaded when available from the provider. - Health and error reporting: Inspect mailbox sync, worker and queue health, storage, backup status and collected problems; configure alerts for administrators. - Signed updates: Tools verify signed releases, back up before installation and provide rollback handling. - Mobile and notifications: Responsive screens, an installable web app, in-app alerts and supported web push. The web app requires a connection to your server; it is not an offline mail client. - Language and guidance: English and Greek interface options, guided tours, help answers, getting-started checklists, themes and Simple, Standard or Custom views. ## Software and services - Community includes all installed functionality: email, cases, collaboration, AI, automation, reports, integrations and governance controls. - No paid software key, trial or license-based user/mailbox cap. Original application code is AGPL-3.0-only; third-party components retain their licenses. - Self-hosting is available. Paid services can cover deployment, migration, training and support. Managed hosting is planned and is not yet sold here. - External provider subscriptions, AI/model usage and infrastructure can have separate costs. ## Limits and data handling - Supported email actions synchronize with the provider. Internal notes, cases and checklists stay in the workspace. Provider capabilities differ. - Email is held by the mail provider and synchronized to the workspace database on the customer's infrastructure. Enabled external AI, webhooks, support-agent connections and off-site backup destinations receive selected content. A local model endpoint can be configured. - The assistant prepares replies for review and sending by a person. Separately configured rules may send template replies or automatically create cases. - Current Outlook attachment sending does not support attachments above approximately 3 MB. Scanned images need a searchable text layer for text search. - Calendar support is Outlook-only; some meeting and recurring-event edits require Outlook. The installable web app requires connectivity to the workspace server. - A customer portal, simultaneous draft co-editing and formal draft approvals are not currently included. Webhook delivery is currently best effort. A general-purpose public API is not offered. - A historical benchmark used 110,000 emails. Database-query timings are not page-loading guarantees. Installation duration depends on the environment and provider registration. ## Audience Engineering, quality and complaints, purchasing and sales, customer support, freelancers and teams coordinating customer and supplier conversations. Self-hosting gives deployment control; no compliance certification is claimed. ## Links - Product: https://eleon.app/product/ - Examples: https://eleon.app/examples/ - Self-hosting: https://eleon.app/self-host/ - Website: https://eleon.app/ - Source code: https://github.com/giorgosbil/eleon - Product capabilities: https://eleon.app/features/ - Packages: https://eleon.app/packages/ Publisher: George Bilalis (https://eleon.app/) Contact: georgebilalis@hotmail.com Last updated: 2026-11-01
