The workspace

From scattered threads
to shared context.

Explore how email, case timelines, team workflows and optional AI fit together.

What it is

Your mailbox, a shared case file
and a ticket system. In one.

Eleon is an open-source, self-hosted email case management tool for Outlook and Gmail. It syncs both ways with your mailbox, puts the related email threads of one matter into one case on a shared timeline, and runs your team's work like a ticket system, with owners, statuses, reply targets and automations.

01

A real mail client, synced both ways

Read, reply, file and search as in Outlook or Gmail. Supported mail actions sync in both directions. Your case organization and internal collaboration stay in the workspace.

How the sync works
02

Cases with every thread on one timeline

The customer, the supplier and your colleagues stay in their own conversations, side by side on one clock, with the gaps between them visible.

03

A ticket system, without the tickets

Case numbers, owners, statuses, groups, reply targets and automation rules. Customers simply keep replying by email.

How it works for a team
The point

Outlook sees threads.
Your work is cases.

One matter is never one thread. It is the customer, the supplier, a colleague, the lab, a forwarded PDF. Each lives in its own conversation, often in someone else's mailbox, and nobody sees the whole picture.

Six emails, four threads, two mailboxes. Who answered the customer? What are we waiting for?

One case. Every conversation in order, the next step and who owns it. A teammate with access can pick it up.

Two-way sync

Do it here.
It's done in Outlook too.

Your Outlook or Gmail mailbox stays the source of truth. Supported email actions in Eleon sync with your mailbox, and mailbox changes are brought back here in the background. Cases, internal notes and checklists stay in the workspace. Exact capabilities depend on the mail provider.

  • Microsoft push notifications can bring new mail in within seconds when configured; background sync also checks for changes.
  • Keep using Outlook or Gmail on your phone alongside the workspace.
  • Your actions and any automation rules you enable determine what changes in the mailbox.

      Works like a ticket system

      A helpdesk for every team.
      Without turning email into tickets.

Support, quality, purchasing or engineering: every request becomes a case your team can own, track and close. Customers keep replying by email, with no portal required. A case reference can appear in the subject to keep the conversation connected.

      Case numbers

CASE-00142 in the subject: replies, forwards and new emails with the number or a reference join their case by themselves.

      Owners & status

Separate Responsible and Handled by roles, custom statuses within Open, Waiting and Closed, and waiting cases that reopen when a customer replies.

      Shared inboxes

info@ and support@ for the whole team: claim a conversation, see Mine, Unassigned and Others'.

      Reply targets

Business-hour reply clocks per group, and a warning before a case runs late.

      Groups & templates

Sales, Support, Quality… with automatic assignment, reply templates and case templates with their steps.

      Reports

Open and closed cases, first reply time, time to close, workload per person, cases with no activity.

      Inside a case

      Everything about a matter.
      In one place.

When something becomes a matter, make it a case: the original threads stay as they are, and come together with the people, the files and the next step.

      Parallel threads, one timeline

Conversations with different people, from different mailboxes, sit in their own columns on one shared clock, and you see how long each one waited for the other.

Next step and who you wait on

Every case says what happens next, who does it, and whether it waits on the customer, a supplier or a colleague. "Waiting on supplier" is a list, not a feeling.

      Made for a team

Notes beside the emails, @mentions, checklists with dates, holiday cover and a handover when someone leaves.

      Files open inside

PDF, Word, Excel, PowerPoint and DXF drawings open in the case. Search finds text in supported PDF and Office attachments, including Greek. Scanned images need a searchable text layer.

      Follow-ups that remember

Reminders that stay quiet when the other side answers first, snooze, send later and undo send.

An assistant that reads the case for you

Ask "what did we agree with Anna about delivery?", get a summary, or a reply drafted in the customer's language. It retrieves material within your access, links to the emails it used, and leaves replies for you to review and send.

      Agents in the background

Twelve configurable routines cover triage, promises, summaries, next steps, unanswered mail, follow-ups, reply targets, morning briefings, patterns, solutions memory, deals and prepared replies. Some use AI; others use rules.

Take the whole case with you

Export emails, files, notes and history together, or print the case to PDF.

      Integrations

      Connected to the tools
      your team already uses.

Keep your mailbox connected, bring selected chat messages into cases, and use Outlook calendar and AI tools alongside your work. Connections require the relevant account permissions and package.

      Microsoft Graph

      Microsoft 365 & Outlook

Two-way mail sync, folders, drafts and read state. Connect shared mailboxes, set out-of-office replies and use your Outlook calendar. Microsoft push notifications are available when configured.

      Gmail API

      Gmail & Google Workspace

The same case timeline for Google mailboxes: folders, threads, drafts and attachments, kept in sync.

      Microsoft Graph

      Microsoft Teams

Teams chats inside the case, case events posted to a channel, and a Teams meeting link added to an email in one click.

      WhatsApp Cloud API

      WhatsApp Business

Chat with customers on your WhatsApp Business number, next to their emails, and link the messages that matter to their case.

      Your own account

      Telegram

Each person connects their own Telegram with their phone number: chats, contacts, photos and files, next to their emails. The connected account is private to its owner; messages deliberately linked to a shared case follow case access. Keep using Telegram on your phone.

      Claude · Ollama

      AI of your choice

Use the built-in Claude connection, your own supported AI service, or a local OpenAI-compatible endpoint such as Ollama. Set a main and backup connection per job, daily limits and a global pause.

      MCP · Webhooks

      Copilot & integration tools

Connect Microsoft 365 Copilot and other compatible AI apps through MCP. Outgoing webhooks notify other systems about selected case events. A general-purpose public API is not currently offered.
